Job Overview

The Commercial Field Service Scheduler is responsible for coordinating and scheduling field service technicians for customer projects, repairs, preventative maintenance, and scheduled inspections. This role ensures that all required materials, parts, rental equipment, and tools are available prior to scheduling work. The Scheduler is also responsible for sending customer quotes and ensuring that signed contracts, approvals, and purchase orders are received before work is scheduled. Additionally, the Scheduler provides customers with timely copies of service orders and inspection reports, serving as the central point of communication between customers, technicians, and internal teams to maximize efficiency, customer satisfaction, and resource utilization.

Key Responsibilities

  • Schedule and dispatch field service technicians for service calls, preventative maintenance, and inspections.
  • Coordinate and maintain recurring inspection schedules.
  • Verify that all required parts, materials, tools, and equipment are available prior to scheduling service or inspections.
  • Schedule rental equipment as needed for inspections and field service work; cancel rental reservations promptly if inspections or jobs are canceled.
  • Arrange pickup of rented equipment immediately after job completion to avoid unnecessary costs.
  • Send customer quotes and ensure signed contracts, approvals, and purchase orders are in place prior to scheduling work.
  • Ensure compliance with customer-specific contractual requirements, including timelines, reporting, and documentation.
  • Provide customers with copies of field service orders and inspection reports in a timely and accurate manner.
  • Communicate with customers to confirm appointments, provide updates, and reschedule as needed.
  • Remain flexible and adjust schedules quickly as priorities shift, including rescheduling technicians, inspections, or rental equipment as required.
  • Monitor technician workloads, locations, and availability to optimize scheduling efficiency and minimize travel time.
  • Track and manage service requests, work orders, inspection due dates, and rental equipment in the company’s scheduling system.
  • Maintain accurate records of all service appointments, inspections, quotes, contracts, equipment rentals, and completed work.
  • Collaborate with service managers, warehouse staff, and supervisors to resolve scheduling conflicts, material shortages, or urgent needs.
  • Ensure compliance with service-level agreements and customer expectations.
  • Provide administrative support related to field service operations, including data entry, reporting, and documentation.
  • Assist in forecasting technician workload and planning resources for upcoming projects and inspections.

Qualifications

  • High school diploma or equivalent (associate degree preferred).
  • 2+ years of experience in scheduling, dispatching, or coordinating field service operations (commercial or industrial experience preferred).
  • Strong organizational and time-management skills with the ability to prioritize in a fast-paced environment.
  • Excellent communication and customer service skills.
  • Proficiency in scheduling or field service management software such as InspectAll and Acumatica, along with Microsoft Office Suite.
  • Experience coordinating materials and rental equipment preferred.
  • Flexibility to adapt to constantly changing schedules and re-prioritize assignments as needed.
  • Problem-solving mindset and ability to adapt to changing priorities.

Job Type: Full-time

Pay: $55,000.00 – $65,000.00 per year
